This notice covers getomeva.io and enquiries about our services. Information about any additional processing involved in a client engagement will be provided separately where needed.
The information we collect
When you request a contract review or the Omeva overview, we collect your first and last name, work email address, company, request type and the software-contract range you select. We also keep relevant information you provide in later emails or conversations.
We obtain this information directly from you. Where relevant to following up your enquiry, we may also use limited professional information from your company website or public professional profile, such as your role and business contact details.
Our website and service providers also process technical information needed to deliver and protect the website and forms, such as device/browser details and security or delivery logs. The initial enquiry forms do not ask you to upload contracts or provide payment information.
Why we use your information
We use enquiry information to respond to your request, send the overview, understand your business requirements, discuss a potential contract review and arrange relevant follow-up. We also use necessary technical information to operate the website, prevent misuse and maintain reliable form delivery.
Our lawful basis is our legitimate interest in responding to business enquiries, explaining our services and operating a secure, reliable website, balanced against your rights and reasonable expectations.
Where we must retain or disclose information to comply with an applicable legal duty, our lawful basis for that processing is the legal obligation.
Fields marked as required are needed to handle that request. If you choose not to provide them, you can instead contact us directly by email. Requesting a review or overview does not automatically subscribe you to a newsletter. You can ask us to stop non-essential follow-up at any time.
Who we share information with
We use service providers to help us run the website and manage enquiries:
Framer B.V. for website hosting, native form handling and built-in analytics.
Microsoft 365 for business email and associated business records.
HubSpot for enquiry records, customer relationship management and follow-up.
Access is limited to authorised people and providers who need the information for these purposes. We may also disclose relevant information to professional advisers or public authorities where necessary to meet a legal obligation or establish, exercise or defend legal rights.
International processing
Our providers operate internationally and may process information outside the UK. Where a restricted transfer takes place, we use the protections required by UK data protection law, such as an applicable adequacy arrangement or approved contractual safeguards. Contact save@getomeva.io if you would like details of the safeguards relevant to your information.
How long we keep information
For enquiries that do not become client engagements, we normally delete or anonymise closed enquiry records 12 months after our last meaningful contact. We review information and remove it sooner when it is no longer needed.
We may retain limited relevant records for longer where necessary to meet legal obligations or resolve an actual dispute. If you become a client, records needed for that engagement will be retained according to the service requirements and applicable legal obligations. Limited backup copies may remain until the relevant provider’s normal deletion cycle completes.
Website analytics and other technologies
We use Framer’s built-in analytics to understand aggregate website activity and improve the site. Framer describes this analytics service as cookieless; it does not use analytics cookies. This is separate from the personal details you choose to submit through our enquiry forms.
If we introduce additional analytics, advertising or embedded services, we will update this notice and provide any information and choices required before using them. Where a technology requires consent, we will ask for it.
Your rights
Depending on the circumstances, you can ask to access or correct your information, have it deleted, restrict its use or receive a portable copy. You can object to processing based on legitimate interests. Where processing relies on consent, you can withdraw that consent without affecting processing that was lawful before withdrawal.
To exercise a right, contact save@getomeva.io. We may need proportionate information to verify your identity and will respond within the applicable legal time limits. If an exception applies, we will explain it.
Questions and complaints
Please email save@getomeva.io with any question or complaint about how we use your information. We will acknowledge a data protection complaint within 30 days, investigate and respond without undue delay, and keep you informed.
